TalentTribe Recruitment Privacy Statement

1. Introduction

Thank you for your interest in TalentTribe and our services. We process your personal data for the purpose of this service. We attach great importance to your privacy and we will therefore treat these personal details confidentially and with care. Personal data will be used as described in this privacy statement and in compliance with applicable data protection legislation, in particular the General Data Protection Regulation 2016/679 of April 27, 2016 (GDPR). TalentTribe may from time to time make changes to its privacy statement for various reasons. The most current privacy statement can be viewed at any time on the TalentTribe website. This version is drafted in October 2022.

2. Who is responsible for your personal data?

TalentTribe Nederland B.V. engages in employment services and is located in Apeldoorn , Berkenlaan 4, postal code 7313 GN and is responsible for your personal data (responsible within the meaning of the GDPR. To facilitate our services, we use data from both candidates and clients (employers).

3. For which purposes do we collect your personal data?

Personal data passed on by candidates to TalentTribe are used solely to enable a responsible, effective and efficient recruitment and selection process. More specifically, personal data are processed:

  • To be able to manage our recruitment database (recruitment system) and to inform candidates about (new) relevant vacancies
  • To be able to assess the suitability and availability of candidates in connection with mediation between candidates and clients for a possible job
  • To communicate about the recruitment and selection procedures and the handling of questions or other requests from candidates
  • To be able to supervise the application process

4. What personal information do we collect from you?

TalentTribe processes only personal data necessary for our services. More specifically, it concerns the following personal data:

  • your name, residence, e-mail address, telephone or mobile number
  • birth data, age and gender
  • resume (work experience, former and current employers, education, training, references, languages, ambition). If you send us a resume with a passport photo, you consent to the processing of this information by means of your agreement on the content of this privacy statement.
  • salary expectations

TalentTribe also collects and processes candidates’ data through personal contacts, telephone calls, and / or e-mail, but also when placed on public information sources that could show that you would be interested in work-related services. In that case we will contact you if you are interested in registering with us in accordance with our purposes and with due observance of this privacy statement.

The data collected and processed by TalentTribe are adequate, relevant and not redundant for the specific purposes for which they are collected and processed. We would like to point out that you do not include special personal data and citizen service number on your resume and / or sent a copy of your identity card.

Candidates’ data are as accurate as possible and, if necessary, will be updated by candidates and TalentTribe in accordance with applicable laws.

5. What personal data does TalentTribe process of clients and suppliers

Personal data that TalentTribe receives from employees, representatives of (potential) clients, suppliers and other companies or institutions, we use for the following purposes:

  • to allow you to use our services and/or to make use of your services
  • to enter into and maintain a trade relationship with you
  • to agree and/or execute orders
  • to inform you about our services and other activities in order to be able to make you offers
  • to comply with applicable laws and regulations

From employees or representatives of business relations, we process the names, functions and business contact details of the contact persons and can pass this on to others (candidates, job applicants) if this is relevant for the execution of our services.

6. How does TalentTribe collect data about visitors via the website?

In general you can visit our website without leaving any personal details. However, TalentTribe uses cookies to improve the user-friendliness of the site. A cookie is a file that is stored on your computer. Each user can set his computer so that these cookies are not placed. See on our website for more information under: TalentTribe Terms. If you choose to send information to us, such as your resume, we will use it in accordance with our privacy statement.

7. On what legal grounds (legal basis) may we process your data?

The processing of personal data is based on the legal basis “consent” and is in accordance with the objectives as mentioned under 3. “For which purposes do we collect your personal data”. In order to process your personal data, we ask for your written consent at the time of the first contact.

Processing means: collecting, recording, ordering, structuring, storing, updating, consulting, using, profiding by forwarding or otherwise making it available, aligning or combining, blocking, erasing or destroying data.

8. Who will have access to your personal data?

Personal data collected by TalentTribe are only accessible to persons working within this organization, and can be shared with its clients (employers) and suppliers (recruitment system) who provide services on behalf of TalentTribe or carry out assignments, when these data are necessary for facilitating our services. And in all other cases where we can be obliged to do so, for example by court order.

9. Security and retention periods

TalentTribe will ensure that your data is securely stored and adequately protected against unauthorized use, unauthorized access, modification or unlawful destruction. TalentTribe stores the mediation details of candidates and applicants and with written permission regarding the various retention periods during:

  • 1 year, when there is a need to retain the data, for example by saving the candidates resume for future relevant vacancies
  • the recruitment and selection procedure
  • the application process and 4 weeks after, if the application leads to an employment relationship
  • 1 year, after the application process in terms of offering (new) relevant vacancies if the application does not lead to an employment relationship
  • 1 year, after the application process for guidance during the first year (failed probation period, re-application within 1 year) if the application leads to an employment relationship

We keep your personal data for the period that is necessary in regard to the above-mentioned objectives or as far as this is necessary due to legal obligations.

After the period in which the details of the applicants are saved has expired, they will be removed completely from the TalentTribe system unless you agree to an extension of the retention periods. The mentioned retention periods of 1 year can be extended for a period of 1 year.

10. What rights can you invoke towards the processing of your personal data by TalentTribe?

You can contact us at any time via privacy@talenttribe.nl or by letter (TalentTribe Nederland B.V, to the attention of h.r./privacy, Berkenlaan 4, 7313 GN Apeldoorn) to:

  • view the information we hold about you and to receive a copy of it
  • correct (improve, supplement) your data if the data is factually inaccurate, incomplete or irrelevant for the purposes for which TalentTribe uses the data or to erase your data
  • request to limit the processing of your personal data
  • withdraw your consent at any time. The withdrawal of your consent does not affect the lawfulness of the processing with regard to your consent before the withdrawal.

TalentTribe will in principle respond to your request within a period of 1 month. If you withdraw your consent TalentTribe will remove your personal data as soon as possible, unless the law requires the personal data to be retained. If you think that TalentTribe has not acted in accordance with data protection laws, you can file a complaint with the supervisory authority.

By submitting your personal data, you confirm that you have read and understood this TalenTribe Recruitment Privacy Statement and agree to its contents.
